Role Description
The Business Support Coordinator is a full time, on site role based in Dubai. This is a junior level position suited to someone organised, reliable, and keen to build experience in a professional services environment.
The role will support the Dubai office with day to day administrative work, client file coordination, document handling, translation coordination, and communication with external lawyers and service providers. The successful candidate will also assist with KYC document collection and support the Processing Manager and wider team with client administration.
This role is ideal for someone who enjoys keeping things organised, following processes, and supporting a busy team with accuracy and professionalism.
Key Responsibilities
- Support daily administrative tasks for the Dubai office and wider business team.
- Assist with preparing, organising, scanning, saving, and filing client documents.
- Coordinate paperwork with lawyers, translators, and external service providers.
- Help arrange document translation, certification, legalisation, and related follow ups.
- Support client onboarding by collecting basic information and required documents.
- Assist with KYC document requests and ensure files are complete and properly recorded.
- Maintain accurate client records, trackers, and internal filing systems.
- Support the Processing Manager and team with admin tasks linked to applications.
- Help schedule meetings, calls, and internal follow ups.
- Handle emails, calls, and basic client communications in a professional manner.
- Support office coordination, supplier communication, and general business support tasks.
- Follow internal processes and maintain confidentiality at all times.
Requirements
- Previous experience in administration, business support, customer service, or office coordination is preferred.
- Strong organisation skills and good attention to detail.
- Good written and spoken English.
- Confident phone and email communication skills.
- Ability to manage documents carefully and follow instructions.
- Comfortable using Microsoft Office, email, calendar tools, and shared folders.
- Able to work well with lawyers, translators, clients, and internal team members.
- Professional, reliable, and willing to learn.
- Able to handle confidential client information with care.
- Experience in professional services, immigration, legal support, financial services, or consultancy is an advantage but not required.
- Additional languages are an advantage.
